If you’ve linked your Coupa Supplier Portal (CSP) to Blackline, you can create and export custom Purchase Order reports. While this article covers creating reports for Purchase Orders, the same approach works for invoices, returns, credit notes, etc..
Note: Custom reporting is only possible in the CSP. You cannot create reports using the Purchase Order Notification (also referred to as a Supplier Actionable Notification “SAN”).
1. Click Orders
2. Ensure Orders is selected from sub navigation menu.
3. Click Select Customer and choose BlackLine Systems Inc. from the drop down.
4. You should now see your BlackLine POs in the Purchase Orders Table.
5. Click the View drop down.
6. Click Create View.
7. Enter a Name for your View/Report.
8. Select the Visibility. Everyone refers to every individual in organization who has access to your CSP.
9. Optionally, you can select a view to start with. The most common selection is All.
Optionally, you can add filtering conditions to refine what is included in the report.
10. Enter a field to Filter By.
11. Select a Filter Clause.
12. Select or Enter the Filter Criteria.
NOTE: The options here will change depending on the Filter Clause.
13. You can add additional Filters by clicking the Plus button.
14. You can remove filters by clicking the Minus button.
15. You can add additional filter groups by clicking Add group of conditions…
16. And select AND or OR logic for those grouped conditions by selecting the Match Conditions.
In the columns section, you can determine which fields are included in the report. To add a column, you can drag it from the Available Columns (17) to the Selected Columns (18). To remove a column from the report, do the opposite, dragging the field from Selected Columns (18) to Available Columns (17). Finally, you can adjust the field order by dragging a field up or down in the Available Columns (17) list.
Lastly, you can define how the report is sorted by:
19. Selecting the field to Sort By.
20. Selecting either Ascending or Descending order from the drop down.
21. When the report is set up the way you’d like, click the Save button.
When the report is displayed, you can click the Export To (22) drop down to display export options. Then click your preferred Format (23) to download it.
